I have yet to meet an agency that actually uses their project management tool to its fullest extent, especially its more basic and important feature: Task Aggregation.

In Asana its called "My tasks".

In ClickUp it's called "Assigned to me" (living under "My Tasks".

(If you are using Basecamp - I can't help you. Get out of there!!!)

Most agencies are using their PM tool as a fancy place to dump projects.

They usually have this ambitious setup from two years ago when someone got excited about Asana, built it halfway, and abandoned it when it stopped feeling manageable.

So you kind of use your PM tool, but most of the "project management" happens over Slack or email or ::gasp:: text message!

Here is why the Project Management tool you set up years ago never really felt useful:

❌ If you are just dumping tasks and projects into list inside of your PM tool - well, you might as well have just kept everything in a spreadsheet or Google Doc as a glorified series of checklists.
